Refund and Cancellation Policy

At Madfun Adventures, we understand that there may be circumstances where you want to drop the plan due to various reasons. However, organizing high-altitude, off-beat expeditions requires significant upfront preparation. We book vehicles, secure permits, and reserve accommodations in remote areas well in advance. Because these logistics are often non-refundable on our end, the cancellation and refund policy is as below.

1. Standard Cancellation by the Traveler

If you need to cancel your booked spot, the following refund structure will apply based on when we receive your official cancellation request:

  • Cancellation Requested Within 30 to 16 days of start of trip: 100% Refund of amount paid.

  • Cancellation Requested Within 15 to 11 days of start of trip: 50% Refund of amount paid.

  • Cancellation Requested Within 10 to 0 days of start of trip: Apologies. Can't offer a refund.


2. Transfer of Booking

If you are unable to travel due to unforeseen circumstances, you may transfer your booking to another person (introduced by you) up to 15 days prior to the trip departure date. The new traveler must meet all trip requirements (including health and acclimatization standards) and agree to our Terms and Conditions. Transfers requested within 14 days of departure are generally not permitted due to strict permit processing deadlines.

3. Cancellation by Madfun Adventures

Madfun Adventures reserves the right to cancel any trip before it is guaranteed to run (e.g., due to not meeting the minimum group size). If we cancel a trip for our own operational reasons, you will receive a 100% refund of all payments made to us, or you may choose to transfer your payment to an alternative future trip. We are not responsible for any incidental expenses or consequential losses incurred by the traveler as a result of the canceled booking, such as non-refundable flight tickets, visa fees, or equipment purchases.

4. No-Shows, Late Arrivals, and Early Departures

  • No-Shows and Late Arrivals: If a traveler fails to join the trip on the starting date or joins the trip after departure, no refunds will be provided for any unused portion of the trip. If you are delayed and wish to catch up with the group, all additional logistical costs (transport, accommodation, guides) to do so will be entirely at your own expense.

  • Voluntary Early Departure: If a traveler chooses to leave a trip voluntarily before its completion for any reason (including personal emergencies, homesickness, or changes in travel plans), no partial refunds will be made for any unused accommodations, transport, meals, or services.


5. Cancellations Due to Force Majeure

Madfun Adventures operates in unpredictable, high-altitude regions.

  • We do not provide refunds for any additional costs incurred due to flight cancellations, permit delays, roadblocks, or other natural incidents.

  • If a trip must be delayed or rerouted mid-journey due to severe weather or state emergencies, the cost of the trip remains non-refundable, and any extra logistical costs (like an extended hotel stay) must be borne by the traveler.


6. Removal from the Expedition

No refunds will be provided if a traveler is removed from the expedition mid-trip due to:

  • Violating our strictly inclusive, zero-tolerance policy regarding harassment or safety.

  • Failing to disclose a serious pre-existing medical condition before joining, which later jeopardizes their safety or the group's progress.


7. Processing Timelines and Transaction Fees

  • Timelines: Approved refunds will be processed back to the original source of payment. Please allow 7 to 10 business days for the amount to reflect in your bank account once the refund is initiated by our billing team.

  • Transaction Fees: Please note that any bank charges, payment gateway fees, or currency conversion fees incurred during the original booking process are non-refundable. All processed refunds will be strictly for the principal amount received by Madfun Adventures.
